Simplifying PF Record Updates: A Guide to Changing Name, Gender, and Date of Birth

New Delhi: Updating your Provident Fund (PF) record details such as name, date of birth, gender, parent’s name, or marital status can seem daunting, but it is a straightforward process. This article aims to simplify the procedure for you, focusing on changes to your name, gender, and date of birth.

Previously, we explained how to correct your basic KYC details, such as name, parent’s name, and date of birth, through a joint declaration. A joint declaration is a request made by both the employer and the PF member to correct the basic profile details. The Employees’ Provident Fund Organization (EPFO) approves the changes based on this request.

It’s important to note that you can make changes to your profile details only once during your entire service, except for marital status, which can be updated twice. Here’s a comprehensive guide on how to make these updates.

Name Changes

Name changes are classified into two categories: major changes and minor changes.

1. Major Changes- These occur if more than two letters of the name are changed and the pronunciation changes, or if less than two letters are changed but the pronunciation changes, or if an extension is added to the name. For major changes, you need to attach at least three documents from the specified list.

2. Minor Changes- These occur when two or fewer letters are changed and the pronunciation does not change, or if a woman adds a surname after marriage, or if titles like Mr., Dr., Shri, Mrs., or Ms. are removed. For minor changes, at least two documents are required.

Gender Changes

Any change in gender is considered a minor change. For this, you need to attach two documents from the specified list.

Date of Birth Changes

Changes to the date of birth are classified based on the duration of the change:

1. Major Changes- If the change is more than three years, it is considered a major change, requiring at least three documents.

2. Minor Changes- If the change is up to three years, it is considered a minor change, requiring at least two documents.
